Overview

The Smart Clinic System provided by SendMe Promotions LLC is designed to enhance patient check-in and engagement through a secure, streamlined digital experience.

Important: The Smart Clinic System is a front-end interface and connection tool only. It does not store, retain, or process Protected Health Information (PHI).

No Storage of Patient Data

Smart Clinic does not:

  • Store patient names, medical details, or personal health information

  • Save form submissions to any database

  • Retain uploaded documents (e.g., insurance cards)

  • Log or cache user-entered information

All interactions are temporary and session-based only and are not preserved once the session ends.

How the System Works

Smart Clinic provides:

  • A digital check-in interface

  • A guided user experience for patients

  • Optional redirection to a clinic’s secure systems (if configured by the clinic)

Any collection, storage, or processing of patient data occurs only within the clinic’s own HIPAA-compliant systems, not within Smart Clinic.

Because Smart Clinic does not collect, store, or transmit PHI, it is designed to operate as a non-covered, non-business associate interface tool.

Healthcare providers using Smart Clinic are responsible for:

  • Ensuring their own systems are HIPAA-compliant

  • Managing all patient data within their secure environment

Some Smart Clinic pages may be presented in demo mode.

These pages are intended for demonstration purposes only and do not process or store any submitted information.

Security Approach

Smart Clinic follows a privacy-first design, including:

  • No backend storage of sensitive data

  • No third-party data sharing

  • No analytics or tracking of user-entered health information

  • Disabled file uploads and intake submissions (in demo environments)

Third-Party Systems

If a clinic integrates Smart Clinic with external systems (e.g., EMR, EHR, telehealth platforms), all data handling is governed by those systems’ privacy and security policies.

SendMe Promotions LLC is not responsible for data handling within third-party systems.
